We are looking for a diligent and proactive Finance, Accounting, and HR Administrator to support daily financial and HR operations, reporting, and compliance. In this role, you will manage accounts receivable and payable processes, file tax returns, process payments, and assist with financial reporting and budgeting. You will also take on key HR administrative tasks, including preparing employment contracts, maintaining personnel records, coordinating payroll pre-processing, and handling leave requests. Additionally, you will collaborate with external payroll providers and create various internal reports to support decision-making at the headquarters.
Main Tasks:
Financial Operations:
- Manage accounts receivable and track outstanding payments
- Handle accounts payable and ensure timely supplier payments
- Process (pre-)payments and received bank payments
- Process monthly SEPA payroll payments Record and settle commissions
- Record monthly depreciation, costs, and recurring entries
- Monitor and reconcile intermediary accounts
Reporting & Compliance:
- Prepare and submit monthly ICT lists
- Prepare and submit monthly German VAT returns, including internal review and control
- Prepare and submit various monthly reports to headquarters
- Assist with monthly German closing activities, reconciliations, and reporting
- Participate in annual budget preparation for review by headquarters
Operational Controls:
- Conduct monthly inventory checks (including monitoring shelf life)
- Confirm payroll details with the payroll partner/accountant to ensure accurate payroll processing
Key Qualifications & Competencies:
- Solid understanding of accounting and financial reporting
- Knowledge of accounting software and MS Excel
- Familiarity with VAT, ICT returns, and SEPA payments
- Strong analytical and reporting skills
- High accuracy and attention to detail
- Excellent organizational and time management skills
- Ability to meet strict deadlines and manage multiple priorities independently
- Good communication skills, especially for collaboration with headquarters and external partners
- Knowledge of German e-invoicing requirements
Qualifications & Experience:
- Proven experience in a similar finance/accounting role
- Qualification in finance, accounting, or a related field (preferred)
- Experience in payroll coordination and international reporting (desirable)
- Proficiency in German and English
